Refunds, deposits, and cancelled reviews

These rules apply to booked reviews (diagnostics, leakage readings, store reconciliations, board packs). This site does not sell physical goods, software licences, or course seats.

Eligibility

Refunds concern deposits and fees paid for a named review. They do not apply to unpaid quotes.

Timeframe

Write to hello@service-pilotfield.click as soon as you know the dates cannot hold. We confirm in writing.

Full refund

If you cancel more than ten working days before the agreed kickoff, the deposit is returned in full. If we cancel because we cannot staff the week, you receive a full refund of sums paid for that review.

Partial refund

If you cancel between ten and three working days before kickoff, we keep thirty percent of the deposit for the held week and return the rest. If kickoff has occurred and file week has not finished, we invoice time already spent at £850 per day against the deposit and return any remainder.

Non-refundable

After the challenge list has been sent, fees for work already done are not returned. The written pack, once delivered, is not refundable because the reading has been given.

Process

Email with the review name and the kickoff date. We confirm the calculation within five working days.

Processing time and method

Returned sums are paid by the same method as the original payment where we can, within fourteen working days of the confirmation email.

Cancellation and rescheduling

You may move a kickoff once, to a later week we still have free, if you tell us at least five working days ahead. A second move is treated as a cancellation under the partial rule above unless we agree otherwise in writing.

Deposits

Fifty percent holds the start week. The balance is due on delivery of the pack.

No-shows

If nobody from your side attends kickoff and you have not written to postpone, the held week is treated as a cancellation inside three working days.

Work already started

File week and later stages are charged as set out under partial refunds. Purchased third-party extracts (if you asked us to buy a statement you could not export) are not refundable once purchased.

Exceptions

Statutory rights that cannot be excluded under UK law remain. We do not offer cooling-off for a review that has begun at your request as a dated professional service.
