This notice explains how Service Pilotfield handles personal data when you use this site, write to us, or commission a review. It should be read with the cookie note.
Data controller

What we collect
- Identity and contact details you enter on the form or send by email (name, email, optional app name, optional dates, message)
- Correspondence needed to scope, deliver, and invoice a review
- Files you later share for a booked review, which may include identifiers present in billing exports
- Technical logs the host may keep (IP address, basic request metadata) for security of the site
We do not ask for payment card numbers on this site. There is no checkout.
Why we process it
- To answer an enquiry and, if you commission work, to perform the contract
- To keep records required for accounting and tax in the United Kingdom
- To protect the site against abuse (legitimate interests)
- Where you accept analytics cookies, to understand which pages are read (consent)
Retention
Enquiry notes that do not become a booking are kept for up to eighteen months. Contracts, invoices, and packs are kept for six years after the end of the tax year of the invoice, unless a longer period is required by law. Billing files you share for a review are deleted or returned according to the scope, usually within ninety days after the readout unless you ask us to hold them for a follow-on piece.
Rights
If UK GDPR applies to you, you may ask for access, correction, deletion, restriction, or portability, and you may object to processing based on legitimate interests. You may withdraw cookie consent at any time by clearing the stored choice and using the banner again, or by writing to us. You may complain to the Information Commissioner’s Office.
International transfers
We aim to keep administration in the United Kingdom. If a processor stores a copy outside the UK, we use a transfer tool recognised under UK law (such as the UK Addendum to the EU SCCs, or an adequacy regulation) and we will say so in the scope if it affects your files.
Sharing
We share data with the host of this static site, our email provider, and professional advisers (accountant, solicitor) when required. We do not sell lists.
Children
The site is aimed at people commissioning professional reviews, not at children.
